Cookie Policy
Learn how CoachHQ uses cookies and similar technologies on our platform.
Effective Date: 27 April 2026
This Cookie Policy explains what cookies are, which cookies and similar technologies we use on CoachHQ, and how you can manage your preferences. It should be read alongside our Privacy Policy.
1. Introduction
CoachHQ is operated by Sports Coach HQ Ltd ("we", "us"). We use cookies and similar technologies on our website, dashboards and related services (collectively, the "Platform") to keep you signed in, remember your preferences, understand how the Platform is used, and improve your coaching experience.
By continuing to use the Platform after seeing our cookie notice (where shown), or by adjusting your browser settings to accept cookies, you consent to our use of cookies as described in this policy — except for non-essential cookies where we rely on your consent under UK law.
2. What Are Cookies?
Cookies are small text files placed on your device when you visit a website. They help the site recognise your browser, remember information about your visit, and support security and functionality. We may also use similar technologies such as local storage or pixels where relevant.
3. How We Use Cookies
We use cookies and similar technologies to:
- Keep you securely signed in to your CoachHQ account
- Remember your theme, layout and interface preferences
- Understand how coaches use the Platform so we can improve content and features
- Measure traffic and performance through analytics tools
- Protect the Platform against fraud and misuse
4. Types of Cookies We Use
We group cookies into the following categories:
- Strictly necessary cookies — required for the Platform to function (for example, authentication and security). These cannot be switched off in our systems.
- Functional cookies — remember choices you make, such as theme or sidebar state, to provide a more personalised experience.
- Analytics cookies — help us understand how visitors and coaches interact with the Platform (for example, pages viewed and features used). We may use tools such as Google Analytics for this purpose.
- Marketing cookies — we do not currently use advertising or third-party marketing cookies on the coach-facing Platform. If this changes, we will update this policy and seek consent where required.
Where cookies are not strictly necessary, we will ask for your consent before placing them on your device, in line with UK Privacy and Electronic Communications Regulations (PECR) and UK GDPR.
5. Cookies We Set
The following are examples of first-party cookies we may place when you use CoachHQ:
- Session / authentication cookie — keeps you signed in securely while you use the Platform (typically expires when you close your browser or after a limited period, such as seven days)
- active_theme — remembers your selected colour theme (up to 12 months)
- sidebar_state — remembers whether the dashboard sidebar is expanded or collapsed (up to 7 days)
6. Third-Party Cookies
Some cookies are placed by third-party services that appear on our pages. These may include:
- Google Analytics — to collect aggregated statistics about how the Platform is used. Google may process data in accordance with its own privacy policy.
- Embedded content providers — if we embed videos or tools from partners, those providers may set their own cookies when you interact with their content.
We do not control third-party cookies. Please review the relevant provider's privacy and cookie policies for more information.
7. Managing Your Cookie Preferences
You can control cookies in several ways:
- Use our cookie preference centre (where available) to accept or reject non-essential cookies
- Adjust your browser settings to block or delete cookies — most browsers allow you to refuse all cookies or only third-party cookies
- Use industry opt-out tools for certain analytics providers, such as Google's opt-out browser add-on
Please note that blocking strictly necessary cookies may prevent you from signing in or using core features of the Platform. Blocking functional or analytics cookies may limit personalisation and our ability to improve the service.
8. Changes to This Policy
We may update this Cookie Policy from time to time — for example, when we add new features, cookies or analytics tools. We will post the updated policy on this page and adjust the effective date above. Where changes are material, we may notify you by email or through a notice on the Platform.
